You’ll be the first friendly voice people hear, the helpful guide behind the scenes, and the person who ensures nothing falls through the cracks.

Type: Full-Time
Schedule: Monday–Friday, 10:00 AM–5:00 PM
Location: In-Person at our Vancouver, WA office

 What You’ll Be Doing:

Your day will involve a variety of tasks that keep our office and students moving forward:

  • Greeting and helping customers in person, by phone, and via text/email
  • Scheduling drives and skills exams, and helping fill open appointments
  • Checking in students for knowledge and skills tests
  • Entering scores and tracking completions accurately
  • Calling and tracking online skills purchases for scheduling
  • Assisting with instructor needs and managing daily logistics
  • Managing contracts and answer sheets: printing, filing, and organizing
  • Answering phones, returning voicemails, and responding to text messages
  • Sending customer follow-ups, scheduling confirmations, and reminders
  • Keeping the office professional, friendly, and student-ready

Detailed Daily Duties Include:

Opening Duties:

  • Log into all systems and prepare the front office
  • Turn on signage (inside and outside)
  • Count and prep money drawer
  • Set up for incoming students and phone traffic

Throughout the Day:

  • Welcome and assist walk-ins
  • Schedule and reschedule student drives and exams
  • Call students/classes to fill last-minute openings
  • Track online purchases for skills exams and follow up as needed
  • Enter test scores and maintain accurate student records
  • Keep up with printing answer sheets and contracts
  • Email communication with students, parents, and instructors
  • Text messaging support via our business line
  • Support instructors with materials and scheduling
  • Check in students for knowledge and driving exams
  • Maintain door signage and general office upkeep

End of Day/Closing Duties:

  • Track the day’s activity and secure money and documents
  • File completed exams and contracts in the correct folders
  • Ensure contracts are placed into the daily testing folder
  • Tidy workstations and put everything away

Requirements:

  • High School Diploma or GED
  • Ability to pass WA State and Federal background checks
  • Must enjoy working with teens, families, and instructors
  • BONUS: Open to training as a licensed instructor in the future!
